Dear Sir/Madam,


      Good day to everyone, I would like to introduce myself as the newly appointed HR Manager of JPC Production Services Company in Ontario Branch, it is my pleasure to serve our company and this has been the reason why I have written to the board to single out the opportunities that we can accomplish in our future operation. But during the first months of my stay I believe that we can develop a more progressive changes and Human Resource Management function strategy for maximized production integration services of the company. I know that the company is still new to the market with its 5 years of domestic and local development of our products and services and its existence, I would like to open up major proposals and I believe the proposal I would like to share will contribute to the best advantage of our operation and customers trust. This will also add up to the motivation of our employee’s performance.   


      My first proposal would be an employee updated training and orientation about the rules and regulation of the company and together with the Operation Manager they have also proposed a proper utilization and update of materials and machineries for the production. This way we can enhance the participation of the best workers to gain knowledge about the new technology that will maximize their production.


      The Human Resource re alignment scheme is important to create a centralized integration system of rules and regulations from all our branches, this means that we can re assess the company’s perspective to adapt the same policies as guided in other branches to create a centralized pattern in production process. This will also ensure our compliance with the government as mandated and through this practices the HRM personnel can have a stronghold mission related level of competency at work and employees themselves will realized that they are given fair labor practices as they expected. In response employees will function considerably as indicated. In particular, the proposal I would like to emphasize is the integration of the policy from our provincial operation about the salaries and wages including the benefits of workers. I believe that if we can apply the same formulation to this branch we may be able to eliminate the workers misbehavior including absenteeism, constant resignation and other work related issues that may hamper the production and operation. Although not necessary at this time, these things are bound to arise in the future operation. They may even create unionization against the company.  


      Lastly the implementation of advance technology from our branch is a must so that we can guarantee the expected recording system and retrieval to safe-keep our data. The computer software and database integration can also add up to proper transfer of transaction from branches to branches and if possible we can also serve our customers through online process for their convenience. This means that we may also need to teach our workers to practical computer training and development by assigning line leaders who will conduct the necessary recordings and basically the one to report about the production during operation including backlog, deficit, material consumption and quality maintenance of our products and services will be upgraded and advance production workflow will take place. Significantly the work schedules and employees skills should largely increase.


      I believe the implementation of such plans as stated above may require the following to properly facilitate the changes that will take place in our operation; 1. An advance training module for a review of company rules and regulation for the re-orientation and centralized production training of old and new workers, 2. Purchase of new machineries to maximize production scheme, 3. Additional PC for proper recording and retrieval, 4.The centralized integration of human resources function that will facilitate the adaptation of company’s rules and regulation from other branches. 5. I need the board of director’s approval including the budget inclusion. The proposal I would like to suggest has been used by highly successful companies that I have worked for in the past and it could also work in our company as of today so please consider my proposal, should you have further questions please don’t hesitate to contact me, I shall wait for your positive response as soon as possible.
